Administrative Coordinator for Environmental Education

FZS Ukraine is seeking an organised and detail-oriented professional to join our team as Administrative Coordinator for Environmental Education. In this role you will keep our education programmes running smoothly — coordinating camps and educational bus services, organising events, and managing the agreements, permits, and payments behind them, while supporting the wider environmental education team. Reporting to the Head of the PA Support Department, you will be the operational backbone that enables children and schools across Ukraine’s most important protected landscapes to take part in high-quality conservation education.

Description of Services:

Effective environmental education depends on careful organisation behind the scenes. The Administrative Coordinator for Environmental Education ensures that camps, educational bus services, and events are planned, documented, and delivered without a hitch. Working closely with protected areas, schools, transport operators, and public authorities, you will handle agreements, permits, schedules, and financial paperwork, while supporting budgeting, reporting, and the day-to-day organisation of the education team. This is a hands-on coordination role for someone who thrives on structure, accuracy, and making things happen.

Basic Requirements (must be met):
  • Passion for nature conservation and environmental education.
  • Minimum Bachelor’s degree.
  • At least 3 years of project management experience, preferably in an administrative, logistics, or coordination role.
  • Strong organisational, administrative, and time management skills, with the ability to coordinate multiple workstreams and deadlines.
  • Attention to detail and confidence handling documentation, agreements, and financial paperwork.
  • Full professional proficiency in written and spoken Ukrainian.
  • Must be located in or willing to relocate to Lviv or the Carpathians region.
  • Positive attitude, collaborative spirit, and enjoyment of working with others.
Differentiating skills (will increase your chances of being hired):
  • English language skills (written and verbal).
  • Experience working with protected areas, particularly in the Carpathians and Polissia regions.
  • Experience coordinating logistics, events, or transport.
  • Experience with budgeting, procurement, or preparing payment and contract documentation.
  • Familiarity with liaising with schools, public authorities, or the police on permits and approvals.

Specific tasks Administrative Coordinator for Environmental Education:

Camp Organisation 

  • Prepare agreements with Protected Areas (PAs) on camps and bus transport, and coordinate their review by a lawyer. 
  • Draft orders (instructions) for PAs on camps and buses, and coordinate their legal review. 
  • Prepare FZS internal orders relating to camps, and coordinate their legal review. 
  • Help prepare documentation for organising environmental education camps. 

Bus Service Coordination 

  • Draw up and maintain the booking schedule and calendar for schools and vocational training centres to reserve the eco-friendly educational buses. 
  • Coordinate operation of the eco-education buses: agree contact persons at each participating organisation (school, transport provider, driver) and determine the route start point, stops, and end point. 
  • Prepare the documentation needed to obtain permits for transporting children to eco-education programmes, liaising with schools, transport operators, and the regional police. 
  • Handle registration and documentation with PAs. 
  • Communicate and coordinate with the drivers of the education buses. 

Event Organisation 

  • Organise events (workshops, seminars, training sessions): compile participant lists, arrange travel and accommodation, and handle related logistics. 

Budget and Financial Administration 

  • Plan operating costs across camps, bus services, and events. 
  • Prepare documents for transactions and payments for services and goods. 
  • Contribute to drawing up the budget for environmental education initiatives. 

General Organisation and Team Support 

  • Ensure consent to be photographed is obtained from participants at all events (one-day bus trips and camps); for children, this consent must be provided by their parents. 
  • Contribute to preparing FZS’s annual action plans and reports on their implementation. 
  • Work with source material to summarise it and help formulate a PAs strategy document. 
  • Support the general organisation of the environmental education team’s work.
